Position Details
Location: Kitchener, ON
Salary: $65,000 – 75,000 per annum

We are looking for a highly organized person to assist MPP Aislinn Clancy with managing casework and outreach support in her community. The ideal candidate will be enthusiastic about managing a small team working together to provide assistance to constituents in Kitchener Centre.
General
- Responsible for managing the operations and administration of the MPP constituency office
- Oversee management of constituency office staff and volunteers
- Provide a high level of service to help constituents with problems and navigating provincial bureaucracy
- Liaise with local businesses, stakeholder groups, and constituents to develop good working relationships; attend meetings on Member’s behalf and represent the Member at community events when needed
- Other related duties as assigned
Constituency advocacy
- Manage assignment of new constituent cases as received; take lead on cases as required
- Coordinate staff schedules and workloads as appropriate
- Ensure all constituency work including email responses and case work is completed in a timely, accurate and professional manner
- Ensure all constituency work is managed and tracked and logged in case management software
- Perform research as needed for the Member and for the purpose of resolving constituency concerns/issues
Operations and events
- Manage the CO office budget, invoices and expenses
- Liaise with Member and Legislative Assembly staff on human resources issues
- Liaise with landlord and other service providers regarding rent, maintenance and general upkeep of office
- Handle computers and IT matters, database backups & operation
- Assist with general office upkeep and reception including organizing, cleaning, routine and emergency maintenance of office and technology
- Contribute to coordinating special projects/events: town Halls, roundtables and other important local events that involve public officials and key stakeholders
Communications
- Coordinate and oversee the creation of the MPP newsletter
- Book and execute MPP advertising
- Coordinate and oversee timely, accurate and up to date responses of email, mail and telephone correspondence to/from constituents
- Work with MPP to ensure cohesive messaging of the MPP’s policy positions
- Draft and/or delegate correspondence (both email and mail) regarding local issues and constituency concerns
- Help ensure all public Member events are appropriately promoted
- Manage MPP website and ensure it is updated as required
Qualifications
- Relevant post-secondary degree, or equivalent training, education & experience
- Demonstrated knowledge and understanding of equity and diversity frameworks and considerations as it applies to the duties of the position.
- Experience in a position working directly with members of the public
- Management experience
- Ability to be flexible and work occasional evenings and weekends
- Strong organizational abilities
- Strong written and oral communication skills
- Ability to work collaboratively in a small team environment
Assets
- French or other languages
- Strong connection to local community
- Constituency office or other administrative experience
- Proficiency in government relations
- Experience working with and advocating alongside equity deserving individuals and communities
